Ask what is actually proposed
Request code, form, quantity, lot, document set and package condition. Clarify whether stock is the approved grade or an alternative being offered because timing is tight.
Do not infer shelf period, manufacturing date or dispatch readiness from a generic warehouse photograph. Obtain the relevant product-specific information through the established supplier channel.
Review substitution deliberately
Compare ionic family, specification basis, preparation instructions and the accepted application record. A familiar trade name is not permission to substitute another molecular or charge profile.
If the code is new, define the minimum meaningful technical review or trial with the plant team. Urgency may change the evaluation plan, but it does not create evidence of equivalence that was never obtained.
Check preparation and handling fit
Confirm the installed feeder, activation, storage and transfer arrangements. A readily available emulsion is not an automatic replacement for powder if the plant cannot prepare it correctly.
Preserve usable benchmark material and a controlled transition. Keep any operating change or temporary approval visible so it does not become an undocumented permanent standard.
Confirm the delivery statement
Separate material availability from release, booking, dispatch and arrival. Ask which milestones can actually be confirmed for the code, quantity and destination.
The export planning record keeps documents, package and named delivery boundary connected. Logistics estimates should not be silently presented as guaranteed plant-arrival dates.
An urgent-order exception record
List approved conditions, unresolved risks, decision owner and the evidence obtained. Record any temporary concession and the affected shipment rather than extending it to all later orders.
Use the urgent PAM supply enquiry with code, current approval, quantity and destination. Actual stock and timing require written confirmation. No standing availability or emergency lead-time promise is made by these general factory-purchasing records.
Urgent-order evidence
| Checkpoint | Evidence to retain | Decision boundary |
|---|---|---|
| Stock identity | Obtain actual proposed code, lot, quantity, package condition and applicable product documents. | A warehouse image or statement of availability does not independently confirm the approved grade or remaining usable period. |
| Substitution | Record the exact comparison, preparation compatibility and responsible temporary or permanent approval. | Urgency cannot create equivalence evidence or authorize another form that the plant cannot prepare. |
| Timing | Distinguish available material, document release, booking, dispatch and estimated arrival for the real destination. | Do not turn an unconfirmed logistics estimate into a guaranteed plant-delivery date or continuing emergency promise. |
