State which qualification stage passed
Distinguish bench screening, pilot work and a controlled plant run. Keep feed, equipment, sample age and test limitations alongside the result.
Do not label an encouraging beaker result as full production approval. The sample-to-plant checks identify the preparation, contact and loading differences that still need confirmation.
Fix the material identity
Require the proposed commercial code and form to match the qualified sample, with the relevant specification and preparation instruction revisions. Record sample and lot identifiers where available.
Ask how the first shipment will represent the approved material. An unexplained replacement code or generic ionic label should remain a technical exception rather than being accepted silently with the price.
Separate application and commercial requirements
Carry the useful dose band, accepted endpoint and feed envelope into the technical record. Keep order quantity, package, destination and delivery scope in the commercial record linked to it.
Confirm which properties are routine lot limits and which are typical characterization. Do not convert a trial observation into a guarantee that every future feed or operating condition will behave identically.
Prepare goods receipt before dispatch
Agree label, batch, quantity and document checks, plus any controlled preparation or application comparison needed. Preserve enough approved material for that comparison under appropriate storage instructions.
Plan a hold and review process for damaged packages or mismatched documents. If the incoming material behaves differently, compare it with the retained control on the same current feed before attributing the change to the product.
A first-order release packet
Include code, specification, trial evidence, preparation standard, package proposal, delivery boundary and receiving authorization. Mark pending items explicitly and identify who can close them.
Send the packet through the first PAM order enquiry. Confirm whether the trial offer and commercial quote cover the same code and scope. No order is created by an enquiry, and no unspecified substitute becomes approved merely because the original sample worked well.
First-order evidence packet
| Checkpoint | Evidence to retain | Decision boundary |
|---|---|---|
| Approval stage | Record which bench, pilot or plant stage actually passed and which conditions remain untested. | Do not describe screening success as unrestricted production approval. |
| Identity chain | Link sample reference, commercial code, specification revision and supplied preparation instructions to the accepted trial. | A generic polymer-family line on an invoice does not preserve the qualified material identity. |
| First receipt | Prepare package, batch, document and any controlled-use checks before dispatch, retaining a suitable approved control. | Resolve differences on the same current feed before declaring either an incoming failure or automatic acceptance. |
