Identify the authoritative set
Record code, document type, revision or issue date, supplied language and responsible issuer. Keep the relevant specification and preparation instruction beside the quotation.
Ask which versions apply to the intended shipment. A newer date alone does not explain whether the technical content changed or whether an older translated copy remains appropriate.
Reconcile technical definitions
Compare units, method references, active basis, typical values and guaranteed limits. Resolve a change in viscosity, charge or molecular terminology before using the number for grade equivalence.
The TDS, COA and SDS guide separates product description, batch analysis and handling. A translation should not convert a typical property into a guaranteed release limit.
Review translated operating information
Have the responsible technical and safety reviewers check critical preparation, storage, handling and transport language for the actual code and destination. Preserve units and concentration conventions.
Do not merge instructions from different products to fill a missing field. If the intended users lack an applicable document, request clarification rather than guessing a universal procedure.
Control superseded copies
Keep a revision history and remove obsolete operating copies through the plant's document-control process while retaining the approval evidence. Record who reviewed any material change.
Link a changed instruction to the need for preparation or application review where relevant. A paperwork revision can affect stock capacity or delivered dose even when the commercial code stays the same.
A document reconciliation record
List each discrepancy, the source versions, question, responsible reviewer and final clarification. Keep unresolved items pending rather than accepting whichever sheet makes the quotation appear more favorable.
Send the code and comparison through the factory document enquiry. Ask for the grade-specific authoritative set and any required correction. General purchasing guidance cannot establish that every translated sheet or certification supplied in a future transaction is valid.
Document reconciliation evidence
| Checkpoint | Evidence to retain | Decision boundary |
|---|---|---|
| Authority | Record code, issuer, document type, revision and which version applies to the intended shipment. | The newest date alone does not explain a technical change or validate every translated copy. |
| Definitions | Align methods, units, concentration conventions and typical versus guaranteed properties across the set. | Do not fill an unexplained field using another supplier's grade or rewrite a typical value as a lot limit. |
| Use | Have responsible technical and safety reviewers address changed instructions and superseded operating copies. | A document revision can affect preparation or handling and should trigger the relevant review rather than a purely administrative filing. |
